Provides Administrative support for Community Standards functions to ensure the accomplishment of departmental and company goals and objectives in an efficient, consistent, and timely manner.
Additionally, provides general administrative support of other departments as needed.
Ensures that all support and service is conducted and fulfilled in a manner consistent with the goals and objectives of the Association, its Governing Documents and California Civil Code.
Responsibilities:
Assist Community Standards Manager to ensure approved processes are followed, and violation reports are filed appropriately.
Communicates any possible or actual discrepancies from established Association processes to the Community Standards Manager or Executive Director, as appropriate.
Maintains an accurate database for tracking violations from start to finish.
Distributes the updated database spreadsheet.
Creates and provides reports as requested to support the Compliance functions.
Learn the CC&Rs and Design Guidelines to accurately assist residents when Community Standards Manager is unavailable and provide support as needed.
Provide telephone and email contact follow-up with residents when necessary.
Document compliance and architectural review related conversations.
Assists the Community Standards Manager with Compliance related matters.
Cross-trained in ARC functions to assist when needs arise.
Communicates effectively with co-workers and Compliance and ARC Committee Chairs concerning Committee issues that may arise.
Asks or answers questions to clarify information to deliver service to residents and staff.
Other duties as assigned.
PHYSICAL REQUIREMENTS Position involves sitting, standing, and/or movement.
Must be able to transport oneself in and around the office setting.
Physical ability to sustain movements especially of the fingers, wrists, hands and arms.
Must be physically and intellectually capable of operating a computer, printer, telephone, radio and various other types of business equipment.
Duties of maintaining files and records will involve stooping, bending, lifting, grasping, pulling, pushing, reaching, writing, and otherwise moving objects weighing as much as 25 lbs.
This type of activity may occur several times throughout the day.
Ability to exchange and receive information through oral communication and to make discriminations in sound.
Must be able to speak English in a clear and understandable voice so that communications may be conducted with people of various levels of education and capabilities.
Must be able to work extended hours, days, weekends and holidays when necessary.
Must be able to see well enough to read faint or partially obscured writing or printing, with or without corrective lenses.
Must be able to exchange and receive information over the telephone.
ENVIRONMENTAL REQUIREMENTS:
Must be able to work constructively and cheerfully in an environment that may be stressful due to adversarial situations.
The employee may be required to participate in more than one assignment at a time with frequent interruptions, changes, and delays.
The employee must be able to remain focused and work effectively, efficiently, and cheerfully under such circumstances.
Performance of job duties will vary; from an office environment with controlled temperatures and fluorescent lighting to the extreme of the outside climate where wind, rain, cold, and extreme heat may be present.
MINIMUM
Qualifications:
Education/
Experience:
High School graduate or its equivalent.
1-2 years administrative experience.
Must have proficient computer skills using various software.
Excellent customer service skills a must.

Must have strong verbal and written skills.
Personality:
Must be tolerant of diverse personalities.
Must be self-motivated, organized, detail-oriented, flexible and able to prioritize.
Able to function effectively under stress and interruptions.
Able to use discretion in the dissemination of information to other personnel and to avoid unauthorized distribution to the members.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
